BUUF Board Meeting December 12, 2010

Present:  Chris Sirotiak, Lisa Dalgleish, Amy Eklund, Jim McConnell, Dorothy Long, Dave Sarra, Emily Hecht

Minutes from October and November:  Corrections:  login is “****”.  Minutes approved as corrected.

Treasurer’s Report:  A Balance Sheet was provided, Profit and Loss, cost by jobs for septic system and kitchen renovation.  A special donation may be coming in from a member soon.

Photocopier:  We missed the boat on the photocopier that was previously proposed so we have a different one that we are trying out.  This one does color and it costs about $200 more than the other.  It seems to be working nicely.  They would like an answer on Monday.  Chris moved that we authorize purchase of the printer and maintenance agreement for a total cost up to $850.  Seconded by Amy.  The window curtain should be kept closed to avoid tempting thieves.  We will put a note on it that says “BUUF Copies only”.  We have several old equipment items that we need to decide what we are going to do with.  We could offer them to members for a reasonable donation.

Membership Report: This will be the last “game Friday”.  Attendance has been just one person  plus Lisa.  This Friday Emily will be hosting a game/cookie baking party.

Building and Grounds:  We have a leaking hot water tank in the front women’s restroom.  There is currently no hot water up there until we have that replaced.  Charles will check into a replacement hot water tank and will also check into what an “instant heat” (on demand) system would cost.  He replaced the tank in the back washroom in 2003.

Snowplowing: Dave contacted Jim Tiller.  He did plowing last week.  The agreement is $20-25 per plow.  Part of it is “in kind” contribution.  Dorothy asked that he send a bill at the end of each month.  He understands that Saturday morning and Tuesday evenings we need a plow as well and the first Wednesday evening of the month.

Harvey got estimates for fixing the front door.  It included materials, tax, labor, for $235.  He needs to tell them we do not pay taxes.  The board is authorizing this repair.  There is another window that needs repair and they have quoted $50.  This repair is authorized as well.  Tom Hackley also submitted options for additional weatherizing of the existing windows to compare to the estimate for replacing the windows that was received from Midwest.  The board’s consensus is that we will not consider replacement of the windows at this time.  Suggest the building and grounds committee look into caulking first, and then consider some sort of insulating window dressings.

The stuff from on top of the coat racks needs to be put away someplace.  There is some auction stuff and remodeling tools/supplies.  An announcement will be made that people need to take their supplies home and the rest needs to be put away.

RE Report: Next Sunday the kids will be doing a Kwanzaa service.  Dave got the debit card but hasn’t run the background checks yet.  He expects to do that this week.

Bob Milne: Waiting to hear back from Bob regarding the focus of the concerts.  We will offer a $10 group rate for purchase of six or more tickets paid in advance.  Those would have to be received by Monday of the concert week.  Advance ticket price will be good if purchased by the end of Wednesday.   
Comcast Community Calendar for our area was suggested as a place to do publicity as well as their Kalamazoo site.

Chris approached a performer about doing a door split concert for us next year.

Ministerial: The first committee meeting will be next week:  Charles, Gloria, Julie and Harvey.  We need to schedule our events for the spring.  Cabaret:  Lisa will check the calendars for a date.  Pledge dinner will need to be in April.  He has a speaker on January 16 about Middle East Peace, Asher Kaufman.  Dr. Esther Van derWal from the Netherlands will be speaking on Feb 6 or 20.  January 9 he has the meal team on Broadway and he will make 30 pizzas with the kids here, movie, and cookies on January 8.  BUUF announce—he would like to submit something himself perhaps on Thursday and then another from Dave on Tuesday.  Jim’s contract signed today!  Finally!

Dick Berndt’s resignation has not been received but he has missed more than three meetings so we will proceed with replacing him.  Janice will make an announcement requesting volunteers today and Dave will include this in the BUUF announcements next Tuesday.  Amy will contact Dick regarding proceeding with this.
